Duties of TWST4Girls' Chief Operating Officer

Planning

Nonprofit COO is part of the executive management team and participates in long-term strategic planning meetings. While the Executive Director and board of directors develop broad mission-oriented goals and objectives, the executive management team helps develop the operating strategies to attain those goals. In these meetings, the COO will provide detailed information to team members regarding the performance capabilities of each department, which she has learned through regular meetings with department heads. 

Monitoring

A nonprofit COO works with individual department heads to monitor their work, not only ensuring each function stays on track to meet its goals, but also making sure each department understands its role in relation to the other departments and the nonprofit’s mission. For example, if the marketing, development and human resources all needed the IT department’s help on projects, the COO would make the call as to which department IT would help first. 

Financial Responsibilities 

The COO would work with each department head and the ED to understand needs and look for solutions during a budget crunch, but would make the final determination regarding issues such as which department gets a new computer and which gets an additional staff member. 

Human Resources 

Works with human resources or ED to ensure the organization meets it staffing needs, including developing plans to maximize volunteer help. Knowing the organization’s personnel capabilities, the COO can determine which projects the organization can pursue, making more effective decisions regarding the operations of different departments. The COO, rather than the ED, might make the final call on hiring, disciplining or terminating certain Directors.

Heads up all communications with outside entities such as sponsors, partners, businesses, vendors and/or other nonprofits  Follows up with partnership, donor, vendor and sponsorship inquiries  Develops and implements templates for thank you’s, donation requests, partnership agreements, vendor packets, and proposal packets.  Sends “Thank You’s” to appropriate business and/or person(s) within 48 hours of contribution  Identifies partnership, sponsorship, donor, vendor, opportunities  Identifies and attends networking events to connect with potential venues, partners, vendor, sponsors and donors  Sends monthly e-newsletters that promote TWST4Girls programs, impact, growth and events.  Works closely with Executive Director as “The Face” of TWST4Girls  Act as spokesperson on behalf of TWST4Girls as directed by Executive Director

Board terms and participation expectation

TWST4Girls' Board Members will serve a two-year term with the potential for re-appointment. Board meetings will be held monthly and committee meetings will be held monthly or in coordination with organization activity level.

Selected Board Members will have achieved leadership stature in business, government, philanthropy, or the nonprofit sector and preferably has prior board leadership. Remuneration


Service on TWST4Girls' Board of Directors is without remuneration, except for administrative support, travel, and accommodation costs in relation to Board Members’ duties.

 

Responsibilities for Board Chair, Secretary, Treasurer and Vice Chair

 

Board Chair

Oversee board and executive committee meetings. Work in partnership with the Executive Director to make sure board resolutions are carried out. Call special meetings if necessary. Appoint all committee chairs and, with the Executive Director, recommend who will serve on committees. Assist Executive Director in preparing board meeting agendas. Assist Executive Director in conducting new board member orientation. Oversee searches for a new Executive Director. Coordinate Executive Director’s annual performance evaluation. Work with the governance committee to recruit new board members. Act as an alternate spokesperson for the organization. Periodically consult with board members on their roles and help them assess their performance.

 

Board Secretary

Attend all board meetings. Serve on the executive committee. Ensure the safety and accuracy of all board records. Take board meeting minutes or review minutes if that task is assigned to a staff member. Assume responsibilities of the chair in the absence of the board chair, chair-elect, and vice chair. Provide notice of meetings of the board and/or of a committee when such notice is required.

 

Board Treasurer

Attend all board meetings. Understand financial accounting for nonprofit organizations. Serve as the chair of the finance committee. Manage, with the finance committee, the board’s review of and action related to the board’s financial responsibilities. Work with the Executive Director and the chief financial officer to ensure that appropriate financial reports are made available to the board on a timely basis. Present the annual budget to the board for approval. Review the annual audit and answer board members’ questions about the audit (if there is no audit committee).

 

Board Vice Chair

Attend all board meetings. Serve on the executive committee if one exists. Carry out special assignments as requested by the board chair. Understand the responsibilities of the board chair and be able to perform these duties in the chair’s absence. Participate as a vital part of the board leadership.

One of the most important aspects of the shelter is building up and maintaining the health of our cats, and that is accomplished in part by visits to the vet.

Unfortunately, our shelter vehicle has been of service to us for many, many years now and the toll of that is starting to show itself.

Between the state of our car, the general (and sometimes unexpectedly intense) busyness that comes from the average day, and understaffing, we are relying largely on volunteers to help us get the cats to and from their vet appointments in a timely manner.

One of our goals at Jones Park is to support native wildlife by returning the forest to its native state. Historically, this area was a mix of prairies and woodlands with a more open understory. This ecosystem is dependent on disturbance, which at one time would have been provided by bison grazing and fires caused by either lightning, indigenous people, or settlers. The exclusion of these disturbances has created unregulated growth of invasive plant species that choke out native trees and grasses.

By manually removing the overgrown and non-native plants, we can recreate the effect of natural disturbances like grazing and fire. This allows for regeneration of the historical understory and mid-story vegetation, which can then be supported by planting of additional native trees. Increasing native plant diversity leads to an increase in the diversity of insect species, which then results in an increase in the diversity of birds and small mammals, too.

Location:  Planet Ford Stadium  23802 Cypresswood Drive, Spring, Texas 77373 Volunteer Teams: Distribution Team - sorting and placing food into vehicles Traffic Control - making sure cars are moving in the right direction, putting them into lines for food and directing them out This is a NO touch event and volunteers must wear mask & gloves,  as well as practice social distancing!  water, snacks, first aid & restroom facilities are available for volunteers. We at Encompass are looking for compassionate, patience, loving volunteers to spend time with our patients. They need and want someone to share their final days with and we want people with a nurturing nature to give them that most basic of needs, human contact. You would spend time with the patients talking, listening, playing games or anything the patient would want or possibly need.

Our offices are in the S Houston and Woodlands area but we have patients all over the Greater Houston Area and Woodlands. The training would be done in our Houston office but the opportunity would be in the Baytown Area.

Due to the nature of the patients’ conditions each volunteer will be required to go through required training to volunteer with our patients. The process to become a volunteer takes a little bit but the rewards of giving your time to these patients is beyond measurable. You can give these people a final dignity in their darkest hour.
